Pay periods define the date range used to calculate employee earnings. They ensure classes, appointments, commissions, and other compensation are grouped into the correct payroll cycle, resulting in consistent payroll processing.
Payroll can still be run without configuring your pay periods. Once pay periods are configured, they can only be updated by support. Thoroughly review your configuration before submitting.
Pay Period Configuration
In Xplor Growth > Xplor Payroll > Payroll Processing > Quick Action dropdown.
In the dropdown, select Payroll Setup. Select New payroll > Upcoming pay period and configure the following:
Pay frequency: How often employees will be paid
First Period End: The last day of the pay cycle for the first pay period. Ex: If employees are paid biweekly and you start paying on the 1st of the month, select the second Friday of the month.
First Pay Day: The date the employee should receive their funds. It should be at least three days after the date selected on the First Period End.
From Payroll Reports, you can view Upcoming Pay Periods including:
Pay Period: Date range
Payday: The date the money will be deposited into the employee's account
Payroll Deadline: The date payroll needs to be run to prevent payment delays
Use Run Report to process payroll for that Pay Period.
Off-Cycle Payroll
An off-cycle payroll run is processed separately from your regular payroll schedule and does not affect future scheduled payroll runs. Use it to:
Pay an employee or contractor who was missed in a regular payroll run
Correct an underpayment
Issue a bonus or other one-time payment
Pay an employee before the next scheduled payroll
In Xplor Growth > Xplor Payroll > Payroll Processing > Quick Action > Payroll Setup, select New payroll > Off-cycle payroll and configure the following:
Pay period start date
Pay period end date
Pay Date: The date the employee should receive their funds. It should be at least three days after the date selected on the First Period End.
Pay frequency: Choose a pay frequency to impact the calculation of taxes.
Funding bank account
Additional tax configurations
Choose the employee or contractor you want to pay using + Add contractor and enter the payment information.
Select Preview payroll to review and Submit payroll when ready.
Before submitting the payroll run, verify all payment details. Once payroll begins processing, you may not be able to make changes.
Once submitted, you can monitor the payment’s status from your Xplor Payroll Dashboard.
