Example

Account (HQ)

A master account that is not connected to a specific location, but used to build automations to sync to child accounts or to create pushed corporate emails.

Account (Child)

The locations under an HQ account where automations and corporate emails can be pushed into.

HQ Account (Mini HQ)

A mini HQ lives under the main HQ brand but holds multiple child accounts within it. Mini HQ accounts are utilized when an owner has multiple locations under a brand.

Asset

Digital material such as text, graphics, logos, pictures, audio, animation, etc. owned by a business. Account saved email templates and tags are also included. These assets can be used in your emails.

Your studio’s logo, instructor headshots, event graphics, etc.

Auto-Action

Staff task management tools that automatically generate to-dos (tasks and phone call reminders) regarding the contact or automatically tags the contact based on the set conditions.

For an automation designed to target clients when they approach their 100th visit, a task is automatically created to place a congratulatory note on their reserved station ahead of class. The task can be assigned to your staff to create the note.

Automation (previously known as Auto-Campaign)

An automated series of auto-messages (email or text) and auto-action (phone call reminder, task, tag) to achieve an aim. Contacts enter an automation when they meet an entry rule and exit if an exit goal is set up. The selected conditions are the qualifiers for each aspect of the automation and determine whether or not a contact enters/exit an automation or gets an auto-message or auto-action.

An upsell automation that targets contacts who book classes with an intro offer. All auto-messages encourage purchasing a membership or full-priced credit package. Contacts exit when they make a payment purchase.

Auto-Tag

An auto-action that automatically tags contacts when they meet a rule.

An auto-tag set to tag new leads with an Xplor Growth Tag: “Cold Lead” if they still haven’t visited the studio after 14 days.

Condition

Datapoint used to qualify contacts for actions within an automation – whether that’s entering or exiting a campaign, receiving an email, and etc. Conditions are also used in smart segments, to pull contacts into a group. Conditions are forward-looking only in automations and can only qualify contacts from the date the automation is set live.

Home location, Milestones, Number of Visits, Has a Membership, Last Visit, Has a Tag, etc.

Contact

An individual profile associated with a unique email address. Mariana Tek refers to contacts as “customers.”

Email (Full Design)

An email that allows for email design, including branding, images, button, links, and more.

Email (Marketing)

Emails that contain notifications for updates and promotions.

“November Events at ShimTown Studio!”

Email (Scheduled)

A single marketing email sent to contacts, such as an email blast about a sale or newsletter.

Email (Text Only)

An email that only allows for text, such as an email sent from your Gmail or Outlook account. This does not refer to an SMS text message.

A one-off email to a contact about a shirt they left behind.

Email (Transactional)

An email that contains information on a contact’s reservation/waitlist, purchase receipt, messages to the class, etc. Transactional emails are still delivered to a contact’s inbox even if they opt out of marketing emails.

“Class Cancelled due to Power Outage”

Entry Rules

Condition(s) that determine if and when a contact should enter a campaign. All campaigns have entry rules.

For a milestone recognition campaign, any contacts when they meet the following rule: exactly 50 visits at any location in my account.

Exit Goals

Condition(s) that determine whether the contact is automatically removed from the automation by meeting the objective of the automation. Not all automations have exit goals.

For an abandoned Landing Page campaign, any contacts when they meet the following rule: finished a Landing Page in all time.

Follow-Up Management

A management page that displays all tasks, either from an automation or manually added. All tasks can be assigned to team members or a user group if they are unassigned.

The morning shift employee creates a task for the night shift employee to wash the towels.

Forms

Branded forms that can be created and sent out or hosted on your website to capture any information you want to collect.

“Subscribe to our Newsletter!”

Franchise Mapping

Associating a membership, credit, class type, or tags from the HQ master account to a child account's equivalent membership, credit, class type, or tag.

When creating and pushing a campaign in HQ to target customers on an Unlimited Membership, child accounts will see their equivalent unlimited memberships in their accounts.

Landing Page

A product-specific checkout page with optional auto-applied discounts. They can be shared with contacts to purchase a credit or membership and can include products not published in the booking software buy page.

Livestream Manager

The livestream manager enables you to automatically send registration confirmations and reminders for your livestream classes, including the essential virtual links your clients need to access the livestream classes.

Marketing Calendar

The calendar displays items with a due date in Xplor Growth.

Tasks and phone call reminders (created as one-offs or generated as part of an automation) and scheduled emails.

Merge Tags

A piece of code that looks like [%TEXT%]. Merge tags are used to automatically pull in the information filled in for that specific merge tag wherever the merge tag is used.

[%signature%] = The ShimTown Team. Any where [%signature%] is used, “The ShimTown Team” auto-populates.

Milestones

Milestone visits typically refer to a celebratory visit count (e.g. 50th, 100th, 200th check-in). When the Milestone condition is used, Xplor Growth counts a contact’s total check-ins.

  • An automation set to reach out to contacts when they hit 100 visits

  • A segment of contacts who have less than 1 all-time visits, to target them with an offer.

Opt-In

Agreeing to receive communication such as updates, promotions, reminders, alerts, or other information via email or text. Opt-In for Email and/or SMS can be added as a part of Xplor Growth forms. You can also include marketing opt-in selections for Email and/or SMS.

By selecting this option, you agree to receive marketing communications via sms.

Pushed Corporate Email

A scheduled email created in an HQ account to push into the child accounts’ marketing calendars. Pushed corporate emails can be made editable or view-only by from the location level.

A marketing email to announce a brand-wide sale.

Relative to Today

A timeframe option used in a condition configurations to qualify if a contact’s actions happened within a timeframe based on today’s date.

Unlike static timeframe options that are based on the selected, fixed calendar date(s), the relative to today drill-down options are always dependent on the current day.

The action within the chosen timeframe is what qualifies the contact.

  • At least x day: The selected number or more

  • Less than x day: The selected number or less

  • Within the last 1 day: Within the last 24 hours

  • Exactly x day: The exact x day, not more or less

Re-Opening Waiver

When this feature is enabled, Xplor Growth automatically sends your required waiver to contacts an hour before their next class, if they have an outstanding waiver.

Segment

A group of contacts that can be manually uploaded via .csv or automatically populated if they meet the set conditions. Segments allow you to create specific lists of contacts to target with messaging, or gain insight for reporting purposes.

Smart Segment

A dynamic list of contacts that are automatically pulled in if they meet the set conditions.

No visit in the last 30 days.

Standard Segment

A static list of manually added contacts in a segment, either via a .csv file upload or individually added.

Smart Rule

Rule(s) assigned to a segment to pull contacts into the segment. Considered “smart” because they are always updating (however, NOT in real-time; approximately within 60-90 minutes).

Last Visit Only, with their last interaction exactly 30 days in the past, for all visit types.

SMS

Short Messaging Service (SMS) AKA text.

SMS (Transactional)

Text message sent to share transactional information, not marketing messages.

A text notification when you’ve been moved off the waitlist into class.

Syncing

The act of pushing information (e.g. automations, tags, templates, etc.) from the HQ account down to a child account.

Sync Items

While the Sync Changes to Content and Sync Changes to Rules buttons pushes the changes to all locations the automation is synced to (either syncing the rules to the overall automation or just the content), the individual Sync Item buttons for each location is what syncs the status or rules on an item or sync new items that are added on an individual location basis.

Timeline

All events pertaining to the contact are visible within a contact’s timeline in their profile. Depending on your booking platform, events that occur on the booking platform (e.g. purchases, reservations, etc.) are also logged.

A call from the front desk staff or an internal note on a contact’s timeline.

Time Delay: Immediately

A time delay option for auto-messages in an automation for the message to send out immediately after a contact meets the specified condition(s). Note that while the name suggests an immediate send, it may take 30 minutes to a few hours.

Twilio

Xplor Growth’s communication (SMS) provider.

Twilio Compliance

Required information to enable SMS in Xplor Growth.

User Groups

Organized grouping of users in which you can assign tasks.

Front desk, instructors, managers and etc.

Waiver

A customizable waiver acknowledging an update or condition unique to the studio that requires customer sign-off. Waivers tend to include specific legal terminology relating to the business as a whole, or to specific events or workshops. Studios can integrate their waivers and allow Xplor Growth to pass information to your booking software about any required waivers a contact has filled out. If a studio wants to include a signed document in the studio account creation process, waivers are the way to do this.

Virtual Class Waiver, COVID Opening Waiver, etc.

Win-Back

Someone who has not attended the studio over a length of time that you’re attempting to get back into the studio.

A win-back campaign targeted at contacts who have not visited the studio >1 month.

Xplor Growth Tag

Tags are used to identify and categorize contacts. They can be especially helpful when trying to group a specific segment of contacts based on data that isn’t captured in your booking software and can be used to auto-tag contacts. Xplor Growth tags are separate from the tags available in your booking platform.

Over 60, cold leads, teacher training, etc.

Xplor Marketplace

Directory to browse, find, and connect with partners that will help you across many categories including copywriting, business consulting, digital marketing, staff management, and more.
