Xplor Growth 101: What are automations?

Automations are one of Xplor Growth's most powerful features! Learn more about how they work and how to set one up.

Automations allow you to contact your clients at specific moments along their journey with your brand—from new client signups to purchase follow-ups to win-back messages. We offer 20+ ways to trigger your communications, so you can customize your campaigns to align with your unique business.

A few key things to know about automations:

  • Automations capture moments as they are happening and are forward-thinking.

    • For example, if you set an automation to target new profiles in your booking software, it will only include profiles created from that day on—not those made a week or six months earlier.

  • If a contact has already met this entry rule in the past, they will not be pulled into the campaign.

  • Automations are great for behavior-based, sequential messaging.


Creating a New Automation

Navigate to Automations > Marketing Automation, click Create an Automation in the top-right.

You will be presented with two options:

  • Browse our Templates: Choose from pre-built campaigns designed around common, successful themes like lead conversion, intro offers, and win-backs. These templates give you a strong starting point to customize.

  • Create from Scratch: Build your automation entirely from the ground up.

    • Pike13 customers will only see the Create from Scratch option.


Adding an Entry Rule

Once you’ve created your automation, the first step is defining your audience. Who do you want to reach, and at what moment? You can target everything from signups to purchases to win-backs. Setting the right entry rule ensures your automation reaches the right people.

Reminder: Entry rules are forward-looking. If you activate an automation today, clients who have already completed the action in the past (such as purchasing an intro offer or creating a profile) will not be included.

Setting Your Goal(s)

Goals work in the opposite way of entry rules—they remove a contact from a campaign once the goal is met. When setting goals, consider your intention for the clients in the campaign. Do you want them to visit? Purchase a membership? Set your automation goals around these outcomes.

Adding Auto-Messages: Email & SMS

Auto-messages are the client-facing side of automations—your way to convert new customers, engage loyal ones, or win back lapsed clients. You can send emails, SMS messages, or both.

Clients must be subscribed to the message type you choose. For example, if a client is unsubscribed from email, they won’t receive your automated emails. Xplor Growth cannot send messages to unsubscribed contacts.

Adding Auto-Actions: Tasks, Phone Call Reminders & Tags

Auto-Actions are internal tools that help you and your team stay organized by automatically creating tasks and client tags. Not every automation needs them, but they’re useful for reminding staff to call a new lead or setting aside a t-shirt for a client’s 100th visit.

There are three different types of auto-actions:

  • Tasks

  • Phone Call Reminders

  • Tags

Setting Your Automation Live

Once your entry rule and goal(s) are set, and you’ve added any auto-messages or auto-actions, it’s time to turn on your automation.

If your campaign has been idle (draft or paused) for a while, re-save your entry rule to ensure it’s up to date.

First, set your auto-messages and auto-actions live by opening each and clicking the green Set Live button. Active items will appear green and marked Active within the campaign.

Once all items are live, start the automation by opening the campaign and clicking the green Start button in the top-right.

Contacts won’t appear immediately—automations are forward-looking. Only clients who meet the entry rule going forward will enter the campaign.


Copy an Automation

When you are in the automation you'd like to copy, click the Options button in the top-right > Copy.

Once you have clicked Copy, a copy of your automation will be added to your Automations list with "Copy" added to the title.


Insights

On the Automation Overview, you can view the following details on the performance of the automation:

  • All Time Enrollments: Customers currently enrolled and customers that have been removed for meeting a goal or exit rule

  • Currently Enrolled: Customers enrolled in automation who have not reached the goal

  • Met Goal: Contacts removed from automation for meeting goal

  • Met Alternative Exit Rules: Contacts removed from automation, but did not meet the automation goal

  • Skipped: Contacts are skipped when they meet the enrollment rule(s) when the campaign was not live.
