Creating & Customizing Templates for Livestream Manager

How to edit and customize email templates for Livestream Manager.

Customizing the emails you send for your BrandBot Livestream Manager reminders is a great way to personalize the experience of your clients and keep your communications in line with your individual business's brand! It can also be a way to supply your clients with information beyond what is included in the default BrandBot Templates for Livestream Manager.

Please read on to learn how to customize your email templates for Livestream Manager!

Create a Draft Auto-Campaign

To get started, you will need to create a draft auto-campaign to house your templates. This will give you easy access for any future edits or updates you may need to make to your templates!

1. Log into BrandBot. In the top navigation bar, click Auto-Campaigns.

2. Once on the Auto-Campaigns page, click Create an Auto-Campaign in the top right > Select the Create from scratch option > name your auto-campaign > click Create.

3. Once you are in your newly created auto-campaign, the campaign will show you the option to set up an entry rule. Due to the fact that this campaign solely exists as a place for you to house your Livestream Manager email templates and isn't actually ever going to be turned on, you don't need to set any entry rules (or goals!) for this auto-campaign. Time to move on and create your template(s)!

Build Your Email

Now that you've created your auto-campaign, and have bypassed the setup steps of adding an entry rule and goal, you are ready to create the email(s) you'd like to set up for your Livestream Manager reminders. You will want to add one auto-email per template you'd like to get set up. For example, if you have a 1-hour and a 15-minute reminder email turned on in your Livestream Manager setup, you will want to add an auto-email for each of these to your auto-campaign. You can check your setup by navigating to Apps > BrandBot Livestream Manager > Setup.

1. In your auto-campaign, scroll down to the Auto-Messages section. Click Add an auto-message > Auto-Email.

2. Name your auto-campaign > click Create.

3. Once you are in your newly created auto-email, you will first be prompted to "Choose when to send this Email." Due to the fact that this message solely exists as a place for you to build your email template and isn't actually ever going to be turned on, you don't need to actually control the timing of this send here. Your setup in Livestream Manager will determine when the email sends! However, in order to actually get to the step of designing your email, you will need to make some sort of selection here. Select Time Delay > Select Immediately in the dropdown > click Save.

4. Once you've saved the "timing" of your email, you will see section 2: "Select the type of email you want to send " light up. Here, select Full Design with Drag and Drop.

5. You'll now be prompted to select the email template you'd like to customize and build on.

  • If you already have a template saved in your account that you'd like to made updates to, you can select Account Saved Templates in the left-hand menu > hover over the template you'd like to build on > click Select on the far-right of the template.

  • If you do not already have a template created, we recommend scrolling to VIRTUAL CLASSES at the very bottom of the left-hand menu > hover over the template you'd like to build on > click Select on the far-right of the template.

    Please pay attention to the title of the template you are selecting here, as they differ in terms of the reminder timing they pertain to, as well as whether they include certain links (i.e. Playlist.)

6. Once you've selected your template, you will be taken to the traditional BrandBot email-builder. This is where you will make your edits to your reminder email!

  • To edit things like the subject line for your email or the reply-to email address, click Email Details toward the top.

  • To customize the layout or content of the email, scroll down to the preview of the email below the Email Details and make your changes there.

  • Please note that anywhere you see a merge tag, i.e. for class name, class instructor, or class time, this information will automatically sync in from your classes in Livestream Manager and will be generated in the actual email send at the time of class. These merge tags should not be deleted or touched to ensure the correct information is provided to your clients ahead of their classes!

7. Once, you've made your changes and are happy with your email, click Save and Exit in the top-right.

Save Your Email as a Template

Now that you've created your reminder email, it's time to save it as a template! Once you've clicked Save and Exit in step 7 above, you will be brought back to the inactive auto-email you've added to your inactive auto-campaign.

1. Just above the preview of your email, click the Options button > Save as Template.

2. You'll now be given two options for how you want you want to save this email. Whichever option you choose, be sure to click Create at the end!

  • Create a new template: This option will allow you to create a brand new email template to use in Livestream Manager.

  • Save over an existing template: This option will allow you to save over an existing template you have already created.

Friendly reminder that you do NOT need to turn on the auto-email within your auto-campaign or the auto-campaign itself. These simply exist to house your Livestream Manager email templates. Please leave them in Draft status!

Select Your Template in Livestream Manager

Once you've created your reminder email(s) and saved it as a template, you will need to navigate to Livestream Manager to apply the changes. This applies whether you chose to create a new template or save over an existing template in Step 2 above. Simply creating a template or saving over your existing reminder template does not update the actual send coming from Livestream Manager!

1. In the top navigation bar, click Apps > BrandBot Livestream Manager.

2. Once in Livestream Manager, click Setup in the left-hand menu.

3. Navigate to the reminder that you have created or updated a template for. If you don't already have this reminder turned on, be sure to select this option and select that you'd like to send an email for this reminder.

4. Once your reminder is properly turned on, select Saved Templates > select your newly saved template in the dropdown. IMPORTANT: Even if you just saved over an existing template as opposed to creating a new one, you will still need to re-select your template here to apply the changes you have made.

5. Scroll to the bottom > check off that you "acknowledge that the messages we are sending are not commercial/marketing in nature." > Save Changes.

Test Your New or Updated Template

Now that you have properly saved your new or updated template within your Livestream Manager setup, we recommend testing this reminder to ensure the changes applied successfully. To learn more about testing, check out this article.
