HQ users can create, manage, and synchronize forms across child locations in their HQ account, under a form's Access Management tab. With flexible syncing options and centralized management tools, HQ users can ensure consistency, improve operational efficiency, and maintain control over forms pushed to child accounts.
When an HQ Form is created and synced, a merge tag with the value in the child account, like [%lead_form%], is created and synced from HQ to quickly populate links and values across accounts.
Additionally, HQ Forms synced to location accounts includes a dropdown menu for users to select their location. This means you only need to embed your form once! When users select their location, they’ll automatically become a lead in that location’s account.
Access Management
After creating a form in your HQ account, navigate to the Access Management tab on the left-hand side of the screen to open your form management options.
HQ Form Syncing Options
Location Selection
To sync an HQ Form to one child account at a time, click the Sync toggle button for the location you wish to sync to.
To sync the form to select child accounts, click the checkbox for the locations you wish to sync to > select Sync current version.
To sync the form to all child accounts, click the checkbox in the header row > select Sync current version.
When a form is synced, the Sync Date displays the date and time of the user (based on their computer's clock) and grants the child account(s) editing access. The form manager also creates a clickable Form URL that opens a new tab with the form when clicked. To copy the Form URL, click the copy icon to the right of the URL.
Clicking on the Sync current version button overrides the previously synced version of the form and updates the synced form with any new changes.
Editable or View-Only Sync Options
Editable Sync: Share a copy that child accounts can update as needed.
View-Only Sync: Lock it in—child accounts will see the form but won’t be able to make changes.
To update the sync option for one child account at a time, click into the Access field > select your sync option.
To update the sync option for select child accounts, click the checkbox for the locations you wish to update > Manage Access > select Can Edit or Can View.
Status Options
Syncing an HQ Form immediately publishes the form within a child account(s). If you wish to unpublish a form for one child account at a time, click the Publish toggle to change the status.
To change the status to multiple child accounts, select the checkbox for the desired location(s) > Change Status > Set Inactive.
To republish a form to a child account(s), select Set Active instead.
