Customizing the emails you send for Livestream Manager reminders is a great way to create a more personalized client experience and keep your communications aligned with your brand. It also gives you the flexibility to include details beyond what is available in the default templates.
Create a Draft Auto-Campaign
To get started, you will need to create a draft auto-campaign to house your templates. This will provide you with easy access to any future edits or updates you may need to make to your templates.
In the top navigation bar, click Automation > Marketing Automation > Create an Automation > Create from scratch > name your automation.
Ignore entry rules and goals since it only stores Livestream Manager email templates and won’t be activated.
Build Your Email
After creating your auto-campaign and skipping entry rules and goals, you’re ready to build the emails for your Livestream Manager reminders. Add one auto-email for each template you need. For example, if you have a 1-hour and a 15-minute reminder enabled, create one auto-email for each.
Go to the Auto-Messages section > Add an auto-message > Auto-Email > add name > Create.
In your new auto-email, you’ll be asked to Choose when to send this Email. Since this auto-email only stores your template and won’t be activated, timing doesn’t matter. To proceed to email design, select Time Delay > Immediately from the dropdown and click Save. Your Livestream Manager setup will control when the email is actually sent
Once you've saved the "timing" of your email, you will see section 2: "Select the type of email you want to send " light up. Here, select Full Design with Drag and Drop.
You’ll now be prompted to choose the email template you want to customize.
Use a Saved Template: Go to Account Saved Templates in the left-hand menu, hover over your template, then click Select.
Start with a Pre-Built Template: Scroll to VIRTUAL CLASSES at the bottom of the left-hand menu, hover over a template, then click Select.
Be sure to check the template title before selecting, as each one is tied to specific reminder timings and may include different links
After selecting your template, you’ll enter the email builder to edit your reminder email.
To update the subject line or reply-to address, click Email Details at the top.
To adjust the layout or content, scroll down to the email preview and make your changes there.
Merge tags (such as class name, instructor, or time) will automatically pull in details from Livestream Manager. Do not delete or change these tags to ensure the correct information appears in client emails."
Click Save and Exit in the top-right.
Save Your Email as a Template
Now that you've created your reminder email, it's time to save it as a template! Click the Options button > Save as Template.
You’ll have two options for saving your email. After making your choice, click Create to finish.
Create a new template: Build a brand-new email template for Livestream Manager.
Save over an existing template: Replace a template you’ve already created with your updated version.
Do not turn on the auto-email or the auto-campaign. These only store your Livestream Manager email templates and should remain in Draft status.
Select Your Template in Livestream Manager
After creating or updating your reminder email template, go to Livestream Manager to apply the changes. Simply saving the template does not update the emails sent through Livestream Manage
In the top navigation bar, click Automation > Livestream Manager > Set Up in the left-hand menu.
Navigate to the reminder for which you created or updated a template.
If the reminder is not active, turn it on and select Send an Email.
Click Saved Templates.
From the dropdown, select your newly saved or updated template.
Important: Even if you saved over an existing template, you must re-select it here to apply the changes.
Scroll to the bottom > check off that you "acknowledge that the messages we are sending are not commercial/marketing in nature." > Save Changes.
Test Your New or Updated Template
We recommend testing this reminder to ensure the changes are applied successfully. To learn more about testing, check out this article.
