How can I set up automated class or appointment reminders in Xplor Growth?

You can set up automated emails or SMS messages to go out to your clients up to 1 hour before their class or appointment begins using the Livestream Manager.

You can set up automated emails or SMS messages to go out to your clients up to 1 hour before their class or appointment begins using the Livestream Manager.

At this time, it is not possible to send out reminders more than 1 hour before a class or appointment begins.

Furthermore, users should be aware that reminder emails might be sent multiple times a week, as Xplor Growth does not include frequency control options for limiting reminders.


Set up your Email Template

In Xplor Growth, navigate to Marketing > Marketing Calendar and click Create New > Scheduled Email > Full Design.

Call the email Class / Appointment Reminder Template and schedule it for any time in the future (you won't actually send this email).

Choose any simple email template. Select Edit Details and enter the subject line as Reminder - Your Class Starts in One Hour or whatever you would like this to say.

Ensure the Sending Address and From Name are your studio. Recipients can remain blank.

In the body of the email, enter the following or make changes to reflect your brand.

Subject:
Reminder - Your Appointment Starts in One Hour πŸ“…

Appointment Reminder

Hey [%first_name | there%], just a reminder that your appointment is starting in an hour!

[%class_name%]
[%class_instructor%] [%class_time%]
123 Main Street USA
​
Questions? Give us a call at (555) 555-555
See you soon!

In the top-right corner, select Save and Exit > Save in progress.

Send yourself a Test Email to verify the links, and then select Save as Template.

Name the template Appointment Reminder - 1 Hour

Click Create.


Program your Email and/or SMS Reminders

In the top navigation bar, navigate to Automation > Livestream Manager > Class Schedule > Turn on for My Account to activate the feature.

In the left-hand menu, click Set Up. Check Send an hour before class and Send an Email.

Choose Saved Templates > select the template you just created in Step 1.

If you are already using Livestream Manager to send waivers one hour before class, you can not send both reminders at the same time. Instead, you can send appointment reminders 15 minutes or 5 minutes before the class or appointment.

Additionally, text reminders will not function for classes that are not marked as public in your schedule. This is a key requirement for triggering SMS notifications.

If you wish to send a text message, you can select that option as well. Here is a sample SMS:

Hey [%first_name | there%], just a reminder of your appointment with [%class_instructor%] at [%class_time%] on [%class_date%]. Please give us a call at 555-555-5555 if you have any questions or are running behind. See you soon!

Livestream Manager SMS messages are sent as Transactional SMS messages and therefore, will not appear in the SMS message, nor can clients reply to them.

Scroll to the bottom of the page, acknowledge the statement, and click Save.
