As a multi-location brand, you'll want to ensure that each child account provides a consistent waiver experience across your locations. With clear communication and the right setup, your waiver launch will run smoothly from day one.
After watching the video and reading the guide, download the HQ Waiver Checklist to keep track of the process.
HQ Setup
Create Waiver
In your HQ account, create your waiver under Marketing > Waivers > Create a New Waiver.
Under Advanced Options, do not mark it as required. The waiver will be created in Mariana Tek with the intention of making it required later when the re-opening waiver is set up.
Sync Waivers
Navigate to Access Management on the left-hand side and sync the waiver to the desired locations.
This will generate a waiver merge tag that is only visible in your child locations, not in HQ.
Navigate to any child location > Settings > Merge Tags > Account Merge Tags and copy the waiver merge tag.
Create Email Template
In your HQ account, open any sent or in-progress email > Edit this email > insert the merge tag into a button in the email > Save and Close > Save and Exit > Save in Progress.
Click Save as Template and create a new template.
Share Template
Go to Assets > Templates and hover over the template to click into Options > Share with all franchise locations.
Child Account Setup
The re-opening waiver feature automatically emails customers the outstanding waiver before they can attend class.
Template
In each child account, create a scheduled email. Set the date to any time in the future, as this email will not actually be sent.
When designing, click Franchise Templates and select the HQ waiver template, and continue building out the email intended for the re-opening waiver.
Once built, click Save Email and Exit > Save in progress, then finally, save as a template.
Send a test email to confirm the merge tag populates the correct waiver link.
Turn On Re-Opening Feature
Navigate to Automation > Livestream Manager. Under Class Schedule, turn on automated reminders for the account.
Under Re-Opening Waiver > Click Yes, send an email. Select the template you just created > Click Save.
Under Set Up, check only Send an hour before class, then save.
When using the Re-Opening Waiver, only select Send an Hour Before Class, not Send an Email. Choosing both sends the waiver email regardless of signature status.
Making the Waiver Required
When the waiver is set to required, it will be mandatory for all customers to sign to check in to classes. When ready to launch the waiver, contact your Customer Success Manager or Mariana Tek support to schedule the waiver's go-live date.
The waiver will be required at all locations. At this time, it is not possible to require a waiver at individual locations.
It is recommended to:
Send a corporate push email: โWeโve updated our waiver terms!โ
Segment examples
Clients who visited in the last 30 days.
Clients with upcoming reservations in the next 30 days.
Resources
We recommend preparing each location by reviewing expectations once the waiver is set live:
Provide location owners with the URL of the location-specific waiver to create a QR code.
