Xplor Growth 101: How do I create a Waiver and integrate it with Mariana Tek?

With Xplor Growth, you can create a waiver that is synced to Mariana Tek and sent automatically to clients before their first class.

Waivers are an excellent tool that allows you to capture additional liability information and manage signed agreements from your contacts. This article will walk you through how to create and share waivers.

These instructions are tailored for single-location studios. If you have multiple locations, please see HQ Waivers for Mariana Tek Clients.


Step 1: Create your Waiver

While logged into Xplor Growth, Navigate to Marketing > Waivers.

In the top right corner, click Create a new waiver.

Standard Questions

The first step in setting up your waiver will be determining which information you want to collect from those filling it out.

  • First name, last name, and email are always required; the other fields are up to you

  • If there is information you aren’t interested in including on your form, simply toggle the data point on or off using the “Include” button to the right.

Custom Questions

If you keep scrolling, you’ll see the option to include custom questions if you wish. For example, you could ask if the client has any physical injuries or limitations, or has ever been advised by a medical professional not to exercise.

  • When you click “Add a Custom Question to this Form,” you’ll be prompted to select the type of answer you’ll be collecting for this question - Dropdown, Multi-Select Checkboxes, Text Input, or Rating.

  • Once you make your choice, you’ll see a space to type your question, as well as any response options if this is relevant to the answer type you selected.

Liability Waiver

This section is where you’ll type out or paste the terms and conditions of your waiver.

  • The information you include here is what clients will be agreeing to through their signature.

  • You can choose whether your clients will sign through a signature or a checkbox.

  • When a client submits a waiver, a PDF copy will be uploaded to their contact profile under Documents.

Call to Action Design

Here is where you’ll design your Call-to-Action button, or the button your customers will use to “submit” the waiver.

  • Button Text: choose what you’d like your “submit” button to say

  • Button Color: choose the color of your button

Once you are done with the above, click “Save” at the bottom to save your changes!

Publish

The last, and most important step in creating your waiver - publishing!

  • In the top-left, you’ll see a “Publish” button - click this to officially publish your waiver to the internet. This waiver will not be shared or seen by anyone until you share it.

  • Once published, you will see a new button available in the top right corner labeled View Hosted Waiver. You can click this to see your waiver hosted on the internet.

If you make any changes to your waiver after it’s been published, you’ll need to save and re-publish.


Step 2: Link your Waiver to Mariana Tek

If you would like to require your waiver to be signed before attending a class at your studio, proceed in linking your waiver to your booking platform.

These instructions are for Mariana Tek users, if you are using MindBody please reference this article.

In the left-hand navigation, go to Advanced Options. Under Link this waiver to a Mariana Tek Waiver, select Create a new one, and enter a name for the waiver. This name will appear in the Mariana Tek User Profile.

If you want every attendee at your studio to sign the waiver, check the Make this waiver required box. If it’s not required for all attendees, leave the box unchecked. Finally, click Create and Link to complete the setup.

Updating Contact fields

If you want contact information updated in Mariana Tek based on what is filled out in the waiver, select Yes, update them. This will only update a contact in Mariana Tek, it will not create a new one.


Step 3: Share your Waiver

Now that your waiver is set up and published, you are ready collect some responses.

  • Auto-email one hour before class: Use Livestream Manager to automatically send the waiver to new clients via email one hour before their first class

  • Direct URL: In the left-hand menu, click on Page Design. At the top, you’ll see the URL where your waiver will be hosted on the internet - copy and paste this link into an email or SMS message, or set up a QR code at your front desk with this link

  • Transactional Email: Add the waiver URL to your relevant Transactional Emails, specifically "New Registration"

  • Automated Email / SMS: Set up an Automation to automatically send the waiver to new clients via email + SMS the day before their first class

Responses + Insights

Clicking Insights on the left navigation while editing a Waiver will show you who filled out your waiver, when, and if they answered any custom questions.

To view a client's completed waiver, navigate to their Contact Profile in Xplor Growth and click Documents.


Advanced Options

There are some additional features you can turn on for your waiver.

Redirection

Redirection allows you to send the client to another webpage after finishing the waiver instead of having a simple success message.

  • Yes, direct them: Select this option to redirect the client to another webpage! You’ll need to paste the URL in here.

  • No, do not send them to another page: Select this option if you want the client’s waiver submission to end with a success message. The default message is “You have completed your form!”

Notifications

If you wish, you can set up notifications to alert you when a waiver is submitted. Enter the email address you’d like these email alerts sent to.


Inactive and Not Required

If a waiver needs to be made inactive/disabled or not required, contact Mariana Tek support by having a studio admin or owner email [email protected] with the waiver name and the requested status change.
